By booking a photography tour, you agree to be bound by these terms and conditions ("Terms"). It is important to take the time to read and understand these Terms before making a reservation, as they establish the legal framework between you and us.

1. Reservations

1.1 Reservation Procedure
To book a photography tour with Japanxperiences, please fill out our online reservation form on our website, or contact us directly to request a tour. If booking online, follow the instructions on the website and provide the necessary information. If you wish to speak with a representative, please contact us by phone or email. We will assist you with the reservation process. Once we receive your request, we will send you a proposal. If you agree to the proposal, we will send you an invoice for payment. You must pay the full amount before the tour can be confirmed and scheduled. We accept various payment methods, including credit cards and PayPal.

1.2 Changes and Cancellations
We understand that plans may change, and you may need to alter or cancel your tour for various reasons. If you need to change or cancel your tour, please contact us as soon as possible. The following cancellation fees will apply:

• A non-refundable deposit of $500 per person is required at the time of booking. This deposit covers costs associated with securing the tour and processing the reservation.

• If canceled up to 90 days before the tour start date, a cancellation fee of 20% of the tour price will be charged. This fee is designed to cover costs associated with rebooking the tour and compensate for the time and resources spent in preparation.

• Cancellations made within 30 days of the tour start date are non-refundable.

• If payment is not confirmed within 45 days of the scheduled tour start date, we reserve the right to cancel the tour without refunding the deposit.

• Cancellation fees arising from hotels or other services will be deducted from the initial payment or billed separately.

• If the tour is canceled due to weather, natural conditions, or reasons beyond our control, a full refund will be issued except for the initial payment.

1.3 Tour Fees
Tour fees are based on the itinerary and contents specified in the proposal. Fees may change without notice due to various factors, including currency fluctuations, fuel surcharges, and government taxes. If there are significant price changes before the payment deadline, we will notify you, and you may choose to continue with the tour or cancel without penalty.

1.4 Included and Excluded Items
What is included and excluded from the tour will be clearly outlined in the proposal, so it is essential to review this information carefully before booking.

2. Liability

We accept no liability for personal injury, death, or loss of personal belongings that may occur during the photography tour. Customers are responsible for their own safety and property and must take appropriate measures to protect themselves and their belongings. In the event of an accident or incident during the tour, we will provide appropriate assistance and support, but we are not responsible for any costs resulting from such incidents. We reserve the right to change itineraries and other aspects of the tour as necessary, and we accept no responsibility for any costs incurred as a result of such changes.

3. Insurance

We strongly recommend that all customers obtain appropriate travel insurance to cover any unexpected events or accidents that may occur during the photography tour. This should include coverage for medical expenses, trip cancellations, and loss or theft of property.

4. Data Protection

We take the protection of customer data very seriously and strive to comply with all applicable data protection laws and regulations in Japan.

5. Governing Law

These Terms shall be governed by and construed in accordance with Japanese law. Any disputes arising from these Terms shall be exclusively subject to the jurisdiction of the courts of Japan.

6. Dispute Resolution

In the event of a dispute arising from or related to these Terms, both parties shall first endeavor to resolve the dispute through friendly and informal negotiations. If the dispute cannot be resolved through negotiation, both parties may choose to submit the dispute to mediation, arbitration, or other alternative dispute resolution methods.

7. Entire Agreement

These Terms constitute the entire agreement between us and the customer, taking precedence over any prior negotiations, understandings, or agreements.
